
Windycon Vendor's Hall

The Vendor's Hall will be located in Sections D — F and Foyer F of the Grand Ballroom on the main level of the hotel. This space totals approximately 6,000 square feet with high ceilings, providing ample room for a vibrant shopping experience.
Electricity is available upon request —please indicate your needs in the appropriate section of your application. Vendors should bring heavy-duty extension cords, power strips, and duct tape, as electrical access may be some distance from their table.
Vendors are responsible for the security of their merchandise. Security rotations through the Vendor's Hall are planned to help ensure a safe environment.

Friday
- Setup: 9:00 AM – 12:45 PM
- VIP Access: 1:00 PM
- General Public: 2:00 PM – 7:00 PM
- Vendors out by 7:30 PM
Saturday
- Setup: 8:00 AM – 9:00 AM
- VIP Access: 9:00 AM
- General Public: 10:00 AM – 6:00 PM
- Vendors out by 6:30 PM
Sunday
- Setup: 8:00 AM – 9:00 AM
- VIP Access: 9:00 AM
- General Public: 10:00 AM – 3:00 PM
- Breakdown: 3:00 PM – 5:00 PM
Barring unforeseen circumstances, we will adhere to these hours.
Application & Selection Process
The Vendor's Hall is a curated marketplace featuring a diverse selection of vendors that align with our focus on science fiction, fantasy, fandom, and geek culture. Our goal is to provide attendees with a high-quality shopping experience featuring unique and specialty items.
Applying does not guarantee acceptance. Each application will be reviewed to ensure a balanced and diverse selection of vendors. Preference is given to those whose products align with our convention’s theme, Rise of the Machines, and those offering unique items such as books, art, apparel, accessories, and collectibles relevant to our attendees. We also strive to minimize direct competition between vendors carrying similar products.
Accepted vendors will be notified after the review period, and those not initially selected will be placed on a waitlist.
By curating our Vendor's Hall, we aim to create an engaging and exciting shopping experience while ensuring variety and quality for both vendors and attendees.

- Confirmation & Payment Deadline: September 26, 2025, 11:59 PM CST
Table & Booth Options
Tables: 72" x 30" (Includes two chairs and one table covering)
- One Table: $100
- Two Tables: $200
Booths: 12' x 10' (Includes two chairs, tables not included)
- Booth: $325
Artists and Authors are typically restricted to one table. If you require more, please contact us at vendors@windycon.org .
Payment is not required until after acceptance into the event.
Membership Requirements
Vendor tables and booths do not include memberships. All vendors and their assistants must purchase their own memberships separately.

Application Rules & Guidelines
- Fill out the application honestly.
- Upload requested merchandise images.
- Choose the appropriate category:
- Vendor: Resale of items.
- Artist: You create your own items.
- Author: You write and sell your own books.
- Artists and Authors may sell their own additional merchandise beyond their books or artwork.
Windycon 51 Vendor's Hall Rules & Policies
Curated Vendor Selection Windycon 51 maintains a curated Vendor’s Hall to ensure a diverse and high-quality shopping experience for our attendees. Vendors are selected based on their alignment with the convention’s theme, uniqueness of their products, and overall contribution to the fandom community.
Guest of Honor & Special Guest Product Restrictions To support and respect the contributions of our Guests of Honor (GoH) and Special Guests, the following rule applies to all vendors:
- No vendor may sell items that directly compete with products offered by Windycon's Guests of Honor or Special Guests unless granted explicit written permission from the convention staff.

This includes, but is not limited to:
- Books by our Author Guests of Honor
- Music by our Musical Guests of Honor
- Art prints and merchandise by our Artist Guests of Honor
- Tabletop, board, or role-playing games created by our Gaming Guests
- Vendors found in violation of this rule may be asked to remove restricted products from their table. Repeated violations may result in loss of vending privileges at the convention.
- If a guest is not selling their own product, then you will still be able to sell this. A list of restricted product will be given before the event date.
Accuracy of Application & Product Disclosure
- All information provided in this application must be accurate and truthful. Any false, misleading, or incomplete information may result in denial of your application or removal from the event.
- All products intended for sale must be disclosed in the application. Items not listed in the application may be subject to removal at the discretion of Windycon staff.
- Vendors who bring undisclosed products must seek approval from convention staff before selling them. Failure to do so may result in a request to remove the items or forfeiture of vending space.
- Book Vendors may not sell books by authors who have a table and are selling those books in the Vendor’s Hall. A list will be given before the event. If they are not selling a particular book you may still sell it.
- All products sold must be appropriate for a family-friendly event and comply with local, state, and federal laws.
Enforcement & Future Participation
- Vendors are expected to follow all convention policies and staff instructions. Failure to comply with these rules at the event may result in removal from the Vendor’s Hall without a refund.
- Vendors who repeatedly violate policies, fail to cooperate with staff, or ignore removal requests will not be invited back to future Windycon events.
- Windycon reserves the right to refuse future applications based on past behavior, rule violations, or failure to adhere to the curated nature of the Vendor’s Hall.
