The Vendor's Hall will be in the Rosemont Ballroom, located on the Entry Level of the Hyatt Regency O'Hare Chicago.

Vendor's Hall Application

Vendors are responsible for the security of their merchandise. Security rotations through the Vendor's Hall are planned to help ensure a safe environment.

Friday:

Setup: 9:00 AM - 1:00 PM
VIP Access: 1:00 PM - 2:00 PM
General Public: 2:00 PM - 7:00 PM
Vendors: Out by 7:30 PM

Saturday:

Setup: 8:00 AM - 9:00 AM
VIP Access: 9:00 AM - 10:00 AM
General Public: 10:00 AM - 7:00 PM
Vendors: Out by 7:30 PM

Sunday:

Setup: 9:00 AM - 10:00 AM
General Public: 10:00 AM - 3:00 PM
Break Down: Out by 3:00 PM - 7:00PM

Barring unforeseen circumstances, we will adhere to these hours.

Application & Selection Process

The Windycon Vendor's Hall is a curated marketplace showcasing a diverse selection of vendors aligned with our focus on science fiction, fantasy, fandom, and geek culture.

  • Our goal is to provide attendees with a high-quality shopping experience featuring unique and specialty items that complement the spirit of the convention.
  • Submission of an application does not guarantee acceptance. All applications are reviewed to ensure a balanced and varied vendor lineup.
  • Preference is given to vendors whose products reflect this year’s theme, Sanctuary Among the Stars,” as well as those offering distinctive books, art, apparel, accessories, collectibles, and other items relevant to our audience. To maintain variety, we strive to limit direct competition between vendors offering similar products.
  • By thoughtfully curating the Vendors’ Hall, we aim to create an engaging, dynamic shopping experience that supports both our vendors and our attendees.

  • Single Table Space + 1 Badge - $140.00
    6 ft × 6 ft space
  • Double Table Space + 1 Badge - $240.00
    6 ft × 12 ft space
  • Standard Booth + 1 Badge - $340.00
    10 ft × 10 ft booth space
  • XL Booth + 1 Badge - $490.00
    10 ft × 15 ft booth space
  • Double Booth + 1 Badge - $0.00
    10 ft × 20 ft booth space (two standard booths combined)
  • XL Booth + Standard Booth + 1 Badge - $790.00
    10 ft × 25 ft booth space (one XL booth combined with one standard booth)

Payment will not be made until you are accepted into the Event. More detailed information is available in the application.

Memberships

Each vendor space comes with one badge at the discounted price of $40.00 each (pre-reg price $50.00; at the door price $75.00).

All vendors and assistants are required to have a badge. The number of additional discounted badges included depends on your space assignment.

Summary of Rules

Please complete the vendor application accurately and honestly. During the application process, you will be asked to upload images of your merchandise at the following link: Vendor's Hall Application

Please select the option that best describes your booth:

  • Vendor: Reselling items made by others
  • Artist: Selling items you personally create
  • Author: Selling books you have written

Artists and Authors may also sell their own related merchandise in addition to their artwork or books.

Please review the full Vendor's Hall Rules & Policies included in the application before submitting.

Applications submitted after the stated deadline will automatically be placed on the waitlist.

Enforcement & Future Participation

  • Vendors are expected to follow all convention policies and staff instructions. Failure to comply with these rules at the event may result in removal from the Vendor’s Hall without a refund.
  • Vendors who repeatedly violate policies, fail to cooperate with staff, or ignore removal requests will not be invited back to future Windycon events.
  • Windycon reserves the right to refuse future applications based on past behavior, rule violations, or failure to adhere to the curated nature of the Vendor’s Hall.

By following these policies, we aim to create a professional, fair, and engaging Vendor’s Hall for all vendors, guests, and attendees.
